Spring cleaning in the course

You have been using a course for quite some time now. However, a lot of data has "accumulated" that you no longer need and whose long-term documentation is not necessary. The basic course structure should not be significantly changed. But you wish to reset the existing course to its original state and run the (same) course with other course participants.

The following tables will show you which information can be changed for this scenario in the course, which data can be removed, and how to do this.

General Information

Course owners

Course owners who are no longer needed can be deleted using the Manage course owners function.

Semester

The semester assignment can be adjusted at any time using the Change course title and description function.

Catalogue assignment

Using the Add course to catalogue function, you can remove existing and set new assignments.

Publication status

 

The publication status can be quickly adjusted using the icon in the course view. For more information, see the help page General access to courses and resources (publication status)

Resource folder

The reference to the resource folder can be removed or modified using the Change course title and description function if required.

Licences

If necessary, an issued licence can be removed using the Change course title and description function.

Course metadata

The course metadata can be adjusted or removed using the Change course title and description function if required.

Multilingualism

Created translations can be removed, and the multilingual function can be deactivated. For more information, see the help page Offer courses in various languages.

Certificate files

 

Your own certificate files can be customised or modified at any time.

However, this will only affect newly acquired certificates. For more information, see the help page Certificates.

Course progress

The Course progress configuration is adopted. Your progress will be tracked and displayed from the first time a course element is opened.

Groups, Participants & Co.

Before you make any changes to your course elements, you should consider how to deal with your existing course participants. This requires a fundamental decision.

Existing user groups and their assessments ...

... should still be retained for some time, and users should continue to have access to their results.

The Reset groups function allows you to complete all the necessary administrative tasks in a dialogue to prepare existing groups for a new course run. For example, you can move existing group users to a new group and thus clear the existing learning group. When moving users to another group, you will still have access to the users’ assessment data.

Use this function, for example, to move all users of your "Participants Chemnitz" learning group to a newly created "Archive2019_Participants Chemnitz” group.

If group tools are configured for the groups, please also check the group content. Resetting does not remove the group content.

  Subscriptions: If users have subscribed to group tools, these subscriptions will be automatically removed when the user is deregistered from the group.

... are no longer needed or have already been saved elsewhere and can be completely removed.

To delete a group in the group management, you can use the icon_Papierkorb_blau.pngrecycle bin icon. For more information, see the help page Delete learning groups.

When a group is deleted, it will also be checked in which course elements the learning group to be deleted is still used in a configuration setting. If this is the case for the learning group you wish to delete, you can still instantly delete this group, but you should then make the changes listed in the course editor and remove these groups from the configuration of the mentioned course elements.

Learning areas

The group assignment to learning areas can be removed or changed. Learning areas can be deleted.

Right groups

The right group management allows you to remove right group members or to change rights.

Course elements/content

The content in many course elements can be removed or customised. The following information generally applies to all course elements:

Visibility & Access

Visibility and access settings can be modified in the course editor.

Check all course elements with a lock icon in the course editor. Adjust the restrictions to correspond to the new purpose, or delete them. Particularly, this applies to

  • Date restrictions
  • Assessment restrictions
  • Attribute restrictions

Assessment data

If you expect there to be course repeaters, all assessable course elements, and course elements in which individual user content is generated, require special attention. To learn more about how to deal with these course elements in general, see the Course repeaters section at the bottom of this page.

Subscriptions

In some cases, activated subscriptions are not automatically removed, e. g. if a user is moved to an archive group or removed from all course groups. Users will thus continue to receive notifications and will have to cancel existing subscriptions themselves. To learn more about how to deal with the affected course elements, see the Subscriptions section at the bottom of this page.

Course element configurations and the reference to the CP resource can be changed.

File Discussion

Files used as a basis for discussion as well as forum topics can be deleted. If a file is deleted, all related forum topics will also be deleted. If you wish to retain the file, delete the forum topics individually.

Enrolment

If the groups are reset and the users removed, new users can enrol.

Email

Course element configurations and the reference to the recipients can be customised if necessary.

💡 Check, for example, whether course owners and group tutors are still up to date if they are stored as recipients of the email.

Single Page

The referenced file can be modified if necessary.

Forum

Forum topics and posts can be deleted.

Survey

Course element configurations and the referenced survey resource can be changed.

Past events can be manually deleted if necessary.

Course element configurations, including the referenced course resource, are adopted.

Messages created in the course can be deleted in the course view.

The configuration and referenced wiki resource can be adjusted. Single wiki entries can be deleted. However, if the resource is still used in other courses, these entries will also no longer be available there.

Course repeaters

If a user has carried out a course element for which they generated assessment data, or if they have configured individual settings in a course element, then this data will be permanently available for this course element. For example, this means that if a user is added to the course or group again at a later time, their "old" data will be visible to them again. Therefore, copy all eligible assessable course elements if you expect there to be course repeaters. Then delete the original course elements and adjust the visibility and access settings or other references to the new course elements as needed.

Subscriptions

For the messages course element, you can activate the "Subscribe automatically” option. This means that the user automatically subscribes to the course element when accessing it in the course view for the first time. All other course elements that can be subscribed to (task, forum, file discussion, calendar, folder and wiki) can be individually activated by the users themselves. However, existing subscriptions are not automatically removed; the respective user can only deactivate them. For more information about the subscription function, see the help page Notifications.

If you want to ensure that users who have subscribed to course elements no longer receive any information about them, copy the relevant course element and delete the old one.
